Southwest Ambulance is a major player in the highly competitive private ambulance services market in the southwestern region of the United States. It is often invited to submit bids in response to requests for proposals (RFPs) from cities seeking to contract with private industry for some or all of their prehospital emergency medical services. RFP bids can be extremely expensive and time consuming to prepare - and a major burden to management staff on top of their day-to-day operational responsibilities.
Southwest Ambulance engaged IPS to help make its RFP responses more effective and efficient by designing an RFP response process. The goals of the new process were to reduce the time needed to prepare a bid package; improve the overall editorial and document presentation quality; and reduce the total cost for RFP bid package production. IPS designed a process that met dramatically cut document preparation cycle times, reduced production costs, and improved overall document quality. The process uses a RFP document library system, project management tools, and document production process maps.
